1. Rental terms
Kamikochi Gear Rental ("we", "us") rents alpine hiking equipment to customers ("you") for the period selected at booking. We do not rent footwear. Equipment is shipped to a Yamato office hold or hotel front desk near Matsumoto.
Your booking is confirmed when your payment is completed and you receive our booking confirmation email. Please check the confirmation promptly and contact us if any detail is incorrect. We may decline or cancel a booking before dispatch — for example where we suspect fraud, cannot verify booking details, where an obvious pricing or listing error has occurred, or where we cannot fulfil the order — in which case our sole obligation is a full refund of all amounts paid.
You agree to use the equipment for its intended purpose, return all items by the agreed return date (the due date) by scanning the return QR code we provide, and report any damage or loss promptly.
Equipment may be used only by the person(s) it was fitted for at booking and may not be lent, sublet, or transferred to anyone else. You (the person who made the booking) remain responsible for the equipment at all times during the rental period. You may not modify, alter, or attempt to repair the equipment.
You must be 18 or older to book. You are responsible for providing accurate delivery details and accurate sizing information at booking. We select and fit equipment based on the information you provide; poor fit resulting from inaccurate sizing information does not entitle you to a refund or exchange. If your hotel declines to accept the package, we will redirect it to the nearest Yamato office hold and notify you by email; this constitutes valid delivery. Delivery is available only to staffed hotel front desks and Yamato Transport office holds. Private residences and vacation rentals (such as Airbnb) are not eligible delivery addresses; if such an address is provided, we will redirect the package to the nearest Yamato office hold as described above.
Returns must be sent using the return QR code we provide, from a 7-Eleven, FamilyMart, or Yamato office in Japan. The return date is the date you hand the package to the carrier (your drop-off scan or receipt is proof). If you return equipment by any other method, or ship forgotten items separately, you bear the shipping cost and the return date is the date we receive the equipment.
2. Payment & saved card
Full rental payment is charged in USD at the time of booking via Stripe. Your card details are stored by Stripe (PCI-compliant) and never on our servers; we retain only a payment-method token.
By completing your purchase you agree: Your card will be saved for potential extension, late-return, damage, or replacement charges described in these terms. You will be notified by email before any additional charge is made. If your gear is not returned and is deemed lost, the replacement value (see Section 3) will be charged to the saved card. Cards are deleted after your returned gear has passed our post-return inspection (normally within 7 days of return).
3. Late returns & extensions
Equipment not returned within 2 days of the due date will incur an additional weekly rental charge, at the same weekly rate as your original booking, to the card on file. We will notify you by email before making the charge, and again once it is made. If you need to extend, contact us before your due date. Extensions are subject to availability: if the equipment is reserved by another customer, it cannot be extended and the equipment must be returned on time. Approved extensions are charged to the card on file at the same weekly rate as your original booking and confirmed to you by email.
If equipment is not returned within 14 days of the due date and we are unable to reach you, the equipment is deemed lost and the replacement value — the actual cost of procuring equivalent replacement equipment — will be charged to the card on file.
If the equipment is later returned to us, we will refund the replacement value charged, less any late-return charges under this section, any damage charges under Section 5, and our reasonable out-of-pocket costs (such as shipping). For all notices under these terms, email sent to the address you provided at booking constitutes valid notice; please monitor that address during and after your rental period.
4. Changes, cancellation & refund policy
Changes. You may request changes to your rental dates, sizes, delivery location, or add-ons by email at any time before we dispatch your gear, subject to availability. After dispatch, no changes can be made. If a requested change is not available, your original booking remains unchanged.
Before shipment: cancel any time for a full refund.
After shipment: no refund. Because gear is dispatched ahead of your start date, cancellations are accepted until the moment we dispatch your gear. Dispatch normally occurs 2–3 days before your rental start, and you will receive a dispatch notification email at that time, which marks the refund cutoff.
No partial refunds are given for early returns, unused items, weather, trail or park closures, or changes to your itinerary after shipment.
Cancellation by us: if we are unable to fulfil your booking (equipment unavailability, carrier failure, natural disaster, or other causes beyond our control), our sole obligation is a full refund of all amounts paid.
Delivery delays. If delivery is delayed by causes beyond our control (such as extreme weather, natural disaster, or carrier disruption) and your gear arrives after your rental start date, we will refund a pro-rata share of your rental fee (one-seventh of the price per full day lost), or issue a full refund if the gear cannot reach you before your trip ends. This is our sole obligation for delivery delays; we are not liable for other trip costs (see Section 6).
Non-conforming or defective equipment. If your gear arrives damaged, defective, or not as booked (for example, a different size from the one we confirmed), contact us promptly — before use where possible. We will replace the affected item(s) where practicable within your rental dates, or refund the affected item(s); if the problem makes the core kit unusable for your trip, we will refund your booking in full. This is our sole obligation for non-conforming equipment, and it does not limit our liability for injury or loss caused by a defect in the equipment we supply (see Sections 5 and 6).
Uncollected packages. Yamato office holds and hotels keep packages for a limited time (normally around 7 days). If you do not collect your gear within the holding period and it is returned to us, the rental ends and no refund is due. If your travel plans change, contact us as early as possible — before dispatch we can still change or cancel your booking as described above.
Refunds are issued in USD to the original payment method, normally within 14 days. We are not responsible for exchange-rate differences or fees charged by your card issuer or bank.
This is a distance sale; under Japanese law mail-order purchases are not subject to cooling-off, and this return policy (no refund after shipment) is expressly disclosed here and at checkout, making it binding.
5. Damage, loss & deposits
No deposit is collected. We photograph every item before shipment and on return. Please inspect your gear promptly on receipt and report any pre-existing damage or missing items before use, by email with photos where possible. Damage not reported on receipt is presumed to have occurred while the equipment was in your care, unless our pre-shipment photo records show otherwise. You are responsible for damage caused by misuse or negligence, and for loss or theft occurring while the equipment is in your care. For repairable damage you will be charged the reasonable cost of repair; where repair is not practical, or where equipment is lost or stolen, you will be charged the replacement value (as defined in Section 3) of the affected item(s). If equipment is stolen, notify us promptly; we may ask you to file a report with the Japanese police and provide the report number before any theft claim is accepted. Normal wear from proper use is expected and not charged.
This clause does not exclude our liability for injury or loss arising from a defect in the equipment we supply, consistent with Article 8 of Japan's Consumer Contract Act.
Personal belongings. Please check all pockets and compartments before returning your gear. We are not responsible for personal items left in returned equipment. If we find belongings we will contact you; return shipping (including international shipping) is at your cost. Valuables such as passports, cards, and cash will be handed to the police as lost property in accordance with Japanese law; other items unclaimed after 3 months may be disposed of.
6. Mountain liability disclaimer
Mountaineering and alpine hiking carry inherent risks, including severe weather, rockfall, falls, hypothermia, and wildlife encounters. You are solely responsible for your own safety, route choice, fitness, and decisions in the mountains.
If any equipment appears damaged, defective, or unsafe — whether on receipt or during use — stop using it and contact us as soon as reasonably possible. Continuing to use equipment you know to be defective is at your own risk.
Renting equipment from us does not make us a guide, guarantor of your safety, or party to your trip. To the maximum extent permitted by law, we are not liable for accidents, injury, or loss occurring during your activity — except where caused by a defect in the equipment we supply (see Section 5).
To the maximum extent permitted by law, our total liability under these terms is limited to the amount you paid for your booking, and we are not liable for indirect or consequential losses such as flights, accommodation, guide fees, or other trip costs. Nothing in this section limits our liability for death or personal injury caused by a defect in the equipment we supply, or any other liability that cannot be excluded or limited under applicable law.
We strongly recommend that you carry travel insurance covering mountain activities, including emergency evacuation and rescue costs. Mountain rescue in Japan can involve significant helicopter and rescue fees, which are entirely your responsibility.
7. Privacy & personal data
What we collect. When you book, we collect your name, email address, sizing information (height, usual apparel size, fit preference, and optional body measurements), delivery details (your hotel or a courier office), rental dates, and any notes you choose to add. Card details are handled entirely by Stripe and never reach our servers (see Section 2). If you use the contact form, we collect your name, email address, and message.
How we use it. Only to fulfil your rental — selecting gear in your size, shipping and receiving the package, contacting you about your booking, and processing the charges described in these terms — and to keep records required by law (such as tax and accounting records). After your rental is complete, we may send you a single email inviting you to review our service; responding is entirely voluntary, and if you prefer not to receive this email, just let us know. We do not use your data for marketing and we never sell it.
Who handles it. We use service providers who process data on our behalf: Stripe (payment), Google (booking records), and Brevo (transactional email). Your name and delivery address are shared with Yamato Transport and, if you choose hotel pickup, your hotel — as needed to deliver your gear. Some of these providers process data outside Japan and outside your country of residence.
Retention & your rights. We keep booking data only as long as needed for the purposes above and for legal record-keeping; saved cards are deleted as described in Section 2. You may request access to, correction of, or deletion of your personal data at any time by replying to your booking email or via our contact form. We handle personal data in accordance with Japan's Act on the Protection of Personal Information; this does not limit any additional rights you may have under the data-protection law of your country of residence.
8. Governing law & jurisdiction
All equipment is delivered, used, and returned exclusively within Japan. These terms are governed by the laws of Japan. Any dispute arising from these terms or your rental shall be subject to the exclusive jurisdiction of the Matsumoto Branch of the Nagano District Court (or the Matsumoto Summary Court, depending on the amount in dispute) as the court of first instance.
Nothing in these terms limits any mandatory consumer rights that may apply to you under the law of your country of residence. If any provision of these terms is held invalid or unenforceable, that provision will be limited or removed to the minimum extent necessary, and the remaining provisions will continue in full force and effect.
